The problem

ProjectPoint manages a growing portfolio of rental properties. But their day-to-day operations were spread across disconnected tools: spreadsheets for tracking maintenance, email threads for tenant communication, separate systems for lease administration. Nothing talked to anything else. Information got lost between steps, response times suffered, and as the portfolio grew, the cracks got wider.

On top of that, sensitive tenant and property data was scattered across platforms with inconsistent security measures. ProjectPoint needed a single system that could handle everything: property management, tenant communication, maintenance tracking, and data security. Not a collection of workarounds, but a real application built for how they actually operate.

How we tackled it

This wasn't a website project. It was a product build. We applied our Build Sprint methodology across a focused six-week cycle, starting with a deep understanding of ProjectPoint's internal workflows. We sat with the team, mapped every process, identified where time was being wasted, and defined what the platform needed to do before writing a line of code.

The key insight: ProjectPoint didn't need software that mimics their existing process. They needed software that replaces the broken parts and connects the rest.

Our approach

A custom full-stack application built with Next.js. Not a WordPress site with plugins. Not a no-code tool stretched beyond its limits. A proper application with role-based access, secure authentication, and a database architecture designed for the kind of data property management generates. The frontend gives the team a clean, fast interface for daily operations. The backend handles the complexity they don't need to see.

Centralised property and tenant management. Every property, every tenant, every lease, every maintenance request lives in one place. The team can see the full picture of any property in seconds: current tenant, lease status, open maintenance tickets, communication history. No more switching between tools to piece together what's happening.

Streamlined tenant communication. Tenants can submit maintenance requests, view updates, and communicate with the management team through the platform. No more back-and-forth over email or phone calls that go untracked. Every interaction is logged, every request has a status, and nothing falls through the cracks.

Security as a foundation, not an afterthought. Tenant data, financial records, lease documents. This is sensitive information. The platform was built with proper authentication, role-based permissions, encrypted data storage, and secure access controls from the start. Not bolted on later.

The result

In six weeks, ProjectPoint went from fragmented tools and manual processes to a single platform that runs their entire operation. Maintenance requests are tracked and resolved faster. Tenant communication has a paper trail. The team spends less time on admin and more time on the work that actually grows the portfolio. And the platform is built to scale with them as they add more properties.
